This page outlines the process to pay reciprocity payments. More info on background on this fund, including principles for accessing the reciprocity budget can be found in the reciprocity guide.
Payment types
This can be paid (or given as value exchange) in various ways, as below:
- Voucher to Bookshop.org.uk - sent directly to the participant
- Voucher - sent to the participant’s organisation
- Donation to participant’s organisation, if they’re a charity
- Donation to participant’s charity of choice
- Direct payment to participant (via bank transfer or invoice)
- Tree planting
- Alternative value exchange: may be included in some cases.
Processing payments
Not all participants will accept the offer of reciprocal payment. Those that don’t needn’t be recorded for audit purposes. For those that do, payment can be processed as follows:
- Activity lead enters participant details into the Reciprocity Partner Form in Airtable. Activity lead may be the Catalyst team (e.g. events we convene)
- At each Start the Week meeting, XXX updates with any new additions to the form.
- If there are new additions, Anita gets in touch with the named Participant to acknowledge receipt of the request and when it will be processed. Copy in the named Activity lead.

Any additions that request payment/donation through a link, this can be done directly through a Director credit card as soon as it comes in.

If it’s to an account that Catalyst has not paid before, XXX gets in touch with the participant to find out their bank details (template email below).

Thanks so much for your contribution to [X activity]. I'm just getting in touch to arrange the reciprocity payment of [£X].
Please could you send me your bank details so I can get that processed asap? Or feel free to invoice us if that's easier for you (if so, please send it within a month of receiving this email).

- Anita shares bank details with the Director responsible for adding new payees in the next payment run.
- Bank payments are processed at the next payment run. Directors would check against the list of people and payment amounts in Airtable, then mark the Airtable line as ‘paid’ once it’s complete and add the date of payment.
- If the participant is also working for Catalyst as a contractor, the appropriate amount should be included in their next invoice. And in the case of participants contributing a service, e.g. writing a blog, they should invoice XXX directly.
- Working group participation: Participants in a Catalyst circle, working group or other collective governance forum should invoice XXX.
